
Domain, hosting, website and email are different
The domain is the address people type, hosting is the infrastructure that serves the website, the website is the collection of files or software customers see, and email is a separate communication service. They can come from different providers. A bundled invoice does not automatically mean one company must permanently control all four.
The domain is the business address
A domain such as yourbusiness.ca should be registered in the business owner’s name and an account the business can access. Record the registrar, account email, renewal date, payment method and recovery method. Website Upgrade Canada includes an eligible custom domain with starter projects, adds no markup to domain renewal and discloses the registrar’s renewal price and applicable taxes before launch.
Hosting stores and serves the website
Different websites need different hosting. Efficient static business websites can often run on Cloudflare infrastructure without a standard hosting charge, subject to the provider’s current limits and acceptable-use terms. E-commerce, databases, member accounts, high-compute applications and certain managed platforms may need paid hosting or software services. The written proposal should identify the recommended arrangement and any future cost.
Website ownership includes usable access
Ownership is more than a sentence in a sales proposal. The client should know where the deployed website lives, who controls the files or platform, which accounts are required and how access is recovered. A designer should not withhold the domain or website solely to force an ongoing subscription that was not disclosed before approval.
Business email is its own decision
Email forwarding sends messages received at an address such as hello@business.ca into an inbox the client already uses. A full hosted mailbox can send and receive directly from that address and normally has its own provider, storage, security and recurring cost. The starter package includes one forwarding address; a full mailbox or additional addresses can be quoted separately.
Renewal costs to confirm before launch
Ask about the domain, hosting, email, premium plugins, booking systems, e-commerce services, transaction fees, analytics, security tools and maintenance. Record which company bills each item, whether the price is introductory, what happens if it is not renewed and whether the service can be transferred. Website Upgrade Canada does not add a required monthly design subscription to the starter project.
How to avoid domain and hosting lock-in
Use a business-controlled email for the registrar, enable multi-factor authentication, store recovery codes securely and keep the registrant details current. Request access before a dispute or employee departure occurs. Make sure the contract explains website files, licensed assets, third-party software and any components that cannot legally be transferred.
Moving a domain without losing the website
A registrar transfer, DNS change and website migration are separate operations. Document the current DNS records, email settings, website destination and rollback plan before changing anything. Keep the old service active until the website, HTTPS, forms and email have been tested at the final address. Read our domain migration guide before moving an established site.
Website hosting and domain ownership checklist
Confirm the legal registrant, registrar login, recovery email, renewal date, hosting provider, website files or platform access, DNS records, email provider, third-party services, recurring prices and cancellation process. The business should also know who will receive alerts and what support is available after launch.
